Privacy Policy
Fnolwise, Inc. ("Fnolwise," "we," "us," or "our") provides commercial first-notice-of-loss triage and claims automation services to insurance carriers and related entities ("Carrier Clients"). This Privacy Policy describes how we collect, process, store, and protect personal and sensitive commercial insurance data in connection with our platform and website.
Because our platform processes sensitive commercial insurance claim data — including policy holder information, loss event details, claimant contact information, and coverage records — we apply heightened data handling standards described in this policy.
1. Information We Collect
1.1 FNOL and Claims Data (Processed on Behalf of Carrier Clients)
When operating as a data processor for our Carrier Clients, we process commercial FNOL submissions that may include:
- Policyholder names, business names, and contact information
- Policy numbers and coverage information
- Loss event descriptions, dates, and locations
- Claimant identity information (names, addresses, phone numbers)
- Property descriptions and damage assessments
- Vehicle identification and damage information
- Third-party information related to commercial claims
- Financial information related to claimed losses
This data is processed under a Data Processing Agreement with each Carrier Client. Fnolwise acts as a data processor; the Carrier Client is the data controller for policyholder and claimant data.
1.2 Website and Platform Account Data
When you interact with our website or create an account, we collect:
- Name, business email address, and company name
- Job title and role within your organization
- IP address, browser type, and device information
- Pages visited and interaction data (via session analytics)
- Form submissions, demo requests, and contact inquiries
1.3 Platform Usage Data
For authorized Carrier Client users accessing the Fnolwise platform, we collect:
- Login timestamps and session activity
- API request logs (without claim payload content)
- Feature usage and workflow interaction data for product improvement
2. How We Use Information
2.1 FNOL and Claims Data
We process FNOL and claims data exclusively for the purposes specified in our Data Processing Agreement with each Carrier Client, which include:
- Structured intake processing and data normalization
- Severity triage classification and scoring
- Coverage match verification against carrier policy records
- Adjuster assignment recommendation generation
- Push delivery to Guidewire ClaimCenter and Duck Creek Claims
- FNOL analytics and intake performance reporting for the Carrier Client
We do not use FNOL or claims data for our own marketing, product training on individual claim content, or any purpose outside the contractually specified scope.
2.2 Website and Contact Data
We use website and contact data to respond to inquiries, schedule demos, communicate product updates, and improve our website experience. We do not sell personal data to third parties.
3. Data Retention
FNOL and claims data processed on behalf of Carrier Clients is retained for the period specified in the applicable Data Processing Agreement. Upon contract termination, Carrier Client data is returned or destroyed within 30 days, consistent with the carrier's compliance requirements.
Website visitor and contact data is retained for up to 36 months following last interaction, after which it is deleted unless a contractual relationship is established.
4. Data Security
Fnolwise implements technical and organizational security measures appropriate to the sensitivity of commercial insurance data, including:
- Encryption in transit (TLS 1.2+) and at rest (AES-256) for all FNOL data
- Role-based access controls limiting data access to authorized personnel
- Audit logging for all access to claim records
- Regular penetration testing and vulnerability assessments
- SOC 2 Type II audit (in progress; available to prospective Carrier Clients on NDA)
5. Third-Party Service Providers
We use vetted sub-processors to operate the Fnolwise platform. Sub-processors with access to FNOL data are subject to contractual data processing obligations equivalent to those we hold with Carrier Clients. Our current sub-processor list is available to Carrier Clients upon request.
6. Data Subject Rights
For individuals whose personal data is processed as part of a commercial FNOL submission, rights requests (access, correction, deletion) should be directed to the Carrier Client who submitted the claim. Fnolwise will assist Carrier Clients in fulfilling rights requests as required by our Data Processing Agreement.

7. Changes to This Policy
We will notify Carrier Clients of material changes to this Privacy Policy at least 30 days before they take effect. For website visitors, updated policies will be posted at this URL with a revised effective date.
